Application Procedure For University Recommended MEXT Scholarship and Admission of BS, MS, PhD

The MEXT is one of the prestigious scholarships and graduates from Japan are highly employable. MEXT offers fully funded highly Masters, PhD or MS leading to PhD Scholarships. There are many different types of it. Most Commonly MEXT Japan Scholarship has two ways to apply

MEXT University Recommendation Scholarship is a comprehensive “full-ride” scholarship sponsored by the government of Japan. In University Recommended MEXT as indicated by the name, an applicant must be recommended by a Japanese university to MEXT, or as it’s formally known, the Ministry of Education, Culture, Sports, Science and Technology of Japan (known as the “Monbukagakusho” in Japanese), in order to be considered for the scholarship. Applicants who wish to be recommended for this scholarship must apply for admission to the university via special admission procedures as described. Each applicant who passes these special admission procedures is subsequently recommended to MEXT for a scholarship. Scholarship recommendation slots are few, and only a number of applicants equal to or less than the number of available scholarship recommendations are granted admission, and thus a university recommendation for a scholarship, via these procedures.

MEXT university recommended can be of different types but mainly three types are:
(i) University Centralized.
You find the universities in Japan which are almost 775 universities and see the MEXT University recommended procedures on their websites and apply as directed on websites. In this case, you do not need to contact professors at Japan and apply directly. Also if you contact the professors, they will tell you to apply through centralized university applications. Many universities have already opened or opening soon for university recommended MEXT. Keep an eye on websites of the universities. Normally, when you apply for MEXT university recommended, university selects you as its MEXT candidate and send your name to MEXT Main selection committee, and in MEXT Main selection committee the final selection among all the recommendations from the universities in Japan are made.

(ii) Professor Recommended
In most of the cases, you contact with the professors at universities in Japan and they recommend you for MEXT university side applications. You fill the university MEXT recommended forms with consent of Japanese professor or professor himself fills up the forms and recommends you. In any case, it is always good to contact the professors for Masters & PhD degrees

One of the best options. JICA is selecting students under MEXT. Step 3 (Search Universities)

By visiting websites (Links are given below) or other means, a candidate can learn about Japanese universities and majors they offer and then choose a specified university, and major.
Before beginning the scholarship application process, a student should identify some good universities that offer scholarships in his program and field of study. Consider the institution’s overall reputation, research published by the university/department/group in your research field, and other factors while choosing a university. A university’s scholarship policy varies depending on the programs and courses offered. When a student chooses a university, he can go to the university’s website to learn about the admissions and scholarship deadlines, as well as the university’s departments and staff.

Step 4 (Contact Supervisors for Acceptance )

The acceptance from prospective supervisor from Japanese university is the most important and Mandatory for MEXT. Applicants must find a prospective supervisor at selected university and thoroughly communicate with him/her, and
then obtain his/her approval before applying. An acceptance
 can be obtained by contacting a Japanese teacher who will agree to accept you in his research group. Students can find some good teachers by finding email addresses from the university website. Students can also search for teachers from, research papers published by teachers. For this, you can search in Google Scholarlike Topic + university name. After you find some good research papers matching your research field, you can obtain the email of the corresponding author and contact him. You can send an email to him in which you will briefly explain your research interest, urge him to study in that university under a scholarship. Step 5 (Apply to University Recommended MEXT Scholarship)

  1. Eligibility Requirements
  2. To be eligible to apply for the Japanese Government (MEXT) Scholarship, an applicant must:
  3. Have the nationality of a country that has diplomatic relations with the Japanese government. Applicants who have Japanese nationality are not eligible (Japanese dual-nationality citizens who plan on renouncing their Japanese citizenship, however, may apply).
  4. Be willing to newly acquire a student visa and newly enter Japan for the purpose of study upon receipt of the scholarship.
  5. Be able to arrive in Japan on a date designated by University for study.
  6. Have a CGPA equal to or higher than 2.30 out of 3.00 for the current degree program as calculated by MEXT’s formula (or most recently attended degree program for persons not currently enrolled).Link of GPA Calculation by MEXT’s formula can find here ↵ 
  7. Those who apply to more than one university for programs commencing in the same year through the Japanese Government (MEXT) scholarship system. (NOTE) Duplicate nominations by multiple universities for the Japanese Government (Monbukagakusho) Scholarships for Research Students (University Recommendation) for same fiscal year for the same person, as well as concurrent nominations for the Japanese Government (Monbukagakusho) and Japan Student Services Organization (JASSO) support programs for international students (International Student Exchange Support
    Program) are not permitted. If a duplicate application or dual scholarship is found, all recommendations for that candidate will not be accepted.
     

 

Scholarship Benefit

  • Allowance: The amounts listed below shall be paid depending on the course enrolled in. The amount of payment is subject to change each fiscal year depending on the Japanese Government budget. However, if a grantee takes a leave of absence from the university or is absent for a long period of time, the scholarship will not be paid for that period.
    1. Research students: 143,000 JPY per month
    2. Regular students enrolled in master’s course: 144,000 JPY per month
    3. Regular students enrolled in doctoral courses: 145,000 JPY per month

(4) Official Academic Transcripts from both undergraduate and graduate schools (Originals or Certified copies of the original documents from your university)

(7) Abstract of Thesis (if completed) or a description of your thesis research in progress

*Issued by the Dean of the department or higher at the university. Contact details of the writer must be clearly shown on the letter.
*The name of the addressee in the letter must be “the President of Applied University”.  They CANNOT accept a letter with “To Whom May It Concern”.
*Applicants now working must also get a letter from their company supervisor. 
(10) Photograph (4.5×3.5cm, taken within the past six months, upper body, full faced, no hats. Write your name and nationality on the reverse side. Digital photograph is also acceptable.) It must be pasted
onto the application form.
(11) Certificate of language proficiency
*Score of language proficiency test of TOEFL iBT, TOEIC L&R(SP), IELTS (except IELTS General Training Module), or Japanese Language Proficiency Test should be presented.
**As for the certificate of language proficiency, please submit the certified copies of the original documents from the university, embassy, or other official institutions, NOT original one.
**Scores of qualifications and examinations are only valid for May 2020 or later.
*Certificate to prove that you have completed your entire education with English or Japanese as your primary language.
(12) CV (Any format but it must include all your academic and employment history.)

Selection Procedure:
When You apply to universities for BS, MS, or Ph.D. Universities nominate you as their MEXT candidate after their admission procedures and send to the MEXT selection committee. The selection of recommended candidates will be made through document screening and interviews conducted by the academic advisors, etc. The successful candidates will be decided to take into consideration all aspects of the application, including the relationship between the applicant’s university, their academic performance, the level of their universities and recommendation letters. In the MEXT selection committee, nominations like you come from other universities as well and they select their final MEXT candidates from all universities nominations, they receive. Find universities in Japan and find the selection procedure of MEXT and apply there asap and get yourself nominated as  MEXT fellow of the university.

 

Deadline
For a successful MEXT scholarship application, you should always start long before the application process opens. There is a lot of research to be done and several important decisions for you to make. One of those decisions – deciding which university to apply to – will determine when you can actually start the application process.
It typically starts in the fall. However, some universities will start accepting applications as early as August, some in September or October, and some as late as December. Ultimately, you can only find out the exact start date after choosing a university. Most important Points to keep in mind while applying for University Recommendation, in most universities MEXT nominations will open with variable dates from August to December of each year.

Step 6 (Application for University)

Above mentioned application process and the preparation for application material is for the MEXT scholarship. All MEXT-affiliated universities have to follow this standard procedure. Besides this standard procedure, universities have additional requirements and application procedures like they ask for another set of documents, an application form, Processing fees,  etc. Applicants must check that university website to know university requirements. 

 

Deadline:

In most universities, MEXT nominations will open with variable dates from August to December of each year.

Documents Required for Application 

  • Application form (Attach the photo to the designated place).
  • Certificate of graduation or prospective graduation issued by the last university the applicant has attended. 
  • Official Transcriptissued by the last university the applicant has attended
  • Research plan in detail on prescribed form (about 1,000 words)
  • Letter of recommendation on prescribed form (An original letter must be submitted; copy, in any form, is unacceptable. It should be written by the dean or the academic supervisor)
  • Score certificate of English proficiency test
    1. TOEIC L&R (SP)
    2. TOEFL iBT
    3. Those who have received degrees from institutions where all instruction is provided in English are eligible for exemption from submitting English test scores, but instead, an official document from their institution attesting to this must be submitted.
  • Photocopy of passport (only the page with the applicant’s name, nationality, date of birth, and photo)

 

University Admission Fee

The MEXT application process is free but some universities demand processing tee which can range from 20,000 yen to 35,000 yen varying from university to university. All details of fee, university bank account, and depositing methods, are given on the university website. The most convenient way is to ask some friend in Japan to deposit the fee on your behalf and he should mention your name while depositing the fee. Students can also pay via VISA credit cards as well. Western union costs too much when money is deposited into a bank account in another country. For the payment method, please inquire at the Admissions Division of the university well in advance. No examination fee is required for those who will be Japanese government scholarship students. Applicants who are in the process of being recommended to MEXT must pay the application fee. If the applicants are officially accepted by MEXT as Japanese Government Scholarship students, and if they pass the entrance examination and are admitted to the university, the university will refund the application fee at a later date.

 

Dispatch of Application to  University 
In Japan, you have to send all documents and application material to the university by courier. This final step is to dispatch the scholarship application to the university. 

  1. University Address
    Proper university address is very important in application dispatching. It is better to call/email the international student office to know the address in the following format otherwise, courier service people face problems in delivering the post.
    a) Province b) City  c) District  d) Road/Street (with street/road number) e) Name of office (with office/room number)  f) Name of Contact Person  g) Telephone number 
    h) Postal Code ABE. If your university address has the above-mentioned address details on the website then send it to the university otherwise it is risky.
  2. Courier Service Selection
    Courier service selection is a very important factor. A number of courier services / postal services are available internationally for china. Government postal services are often cheap but take much time and also don’t have an online tracking system. Others like DHL, TCS, OCS, etc. are expensive but take 4-7 working days. These courier services offer special university/students offers which are cheap. Their normal package is generally expensive. In our opinion, DHL is best because of its own international network with real-time online tracking.

 

University Entrance Examination

There is an examination student may be required to take if they wish to study in Japan. Be sure to check the admissions guidelines of your school of choice and sit for the designated exam.
